The Center for the Humanities at the CUNY Graduate Center is looking to fill this part-time position immediately, so we encourage people to apply ASAP.

GENERAL DUTIES

– Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.

– There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed.

– Maximum tenure for any employee in this hourly position is 1040 hours per year.

– Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required.

– Types letters, memoranda, charts, and similar materials.

– Acts as cashier.

– Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.

– Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.

– Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.

– Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.

– May operate computers, computer software, and other electronic equipment in performing assigned tasks.

CAMPUS SPECIFIC INFORMATION

The Center for the Humanities, CUNY is seeking a part-time College Assistant to assist and will report to the Director of the Center at The CUNY Graduate Center. The position serves as a resource of support for the Center and its affiliated programs on an evolving suite of financial software and payment processes implemented by the Graduate Center’s Business Office, Provost’s Office, Research Foundation, and Purchasing Department. The College Assistant updates institutional budgets via Excel; facilitates payments for various programmatic and operational expenses; and assists with the preparation of regular financial reports for administration and foundations. Working experience with financial is preferred, the ideal candidate will be someone who is a friendly and consistent communicator who feels comfortable providing various administrative support with patience and perseverance.

This part-time position is 20 hours a week. This is a union position that allows for a flexible schedule and comes with excellent health and dental benefits. Demonstrated experience in university or nonprofit finance administration is preferred.

RESPONSIBILITIES INCLUDE:


– Support manager through budgetary tracking, including expenses and payments, and communicating about funds activity with manager on a regular basis 
– Support manager navigating various purchasing systems (CUNYbuy, RFCUNY, etc.) 
– Liaise with GC Purchasing department, Business Office, Provost’s Office, and the Research Foundation; Liaise with Community Partners; Manage correspondence between Business Office, Center staff, and Center’s collaborators, contractors, and invited guests to send and process paperwork for payments
– Support manager with gathering, submitting, tracking, and archiving recurring payments for Slack, Mailchimp, Eventbrite, Monday.com, Dropbox, Sharepoint, etc. 
– Basic familiarity with Adobe Acrobat and Excel 
– Support manager to gather and submit timesheet submission for GC Foundation and RF staff 
– Assist with the reviewing of RF P-CARD statements and timely payments 
– Support personnel to help ensure that both tax-levy and non-tax-levy funds are appropriately budgeted for yearly and grant-based activities
– Help organize office operations, including food and supplies orders
– Work with the various initiatives associated with Center, including but not limited to: the NYC Climate Justice Hub, Women’s Studies Quarterly, Public Scholarship Practice Space, Distributaries, and Lost & Found to manage budgets and collate budgetary information.

-Attention to details is highly desirable

-General office administrative, as well as some knowledge of and interest in humanities are preferred

COMPENSATION

$21.97 per hour
